Mission Action Youth Organisation (MAYO) Terms and Conditions

 

🧾 Governance & Decision-Making

  1. MAYO committees follow standard committee rules and procedures. This will be governed by the MAYO constitution and will come into effect when MAYO is Incorporated in the state of Victoria. Until then Robert Zaar is the facilitator of MAYO and takes on the leadership role and Safety Officer role.  The following is the current vision, terms and conditions for being part of MAYO.

1. Executive Members (must have a Working with Children Check - WWCC)

  • President
  • Chaplain
  • Secretary
  • Treasurer
  • Child Safety Officer
  • Webmaster
  • Committee Members
     

2. Senior Members

  • Senior Members: Age 18+ who are no longer at college. Year 12 students will be able to become a senior member from the 1st of Jan the following year.
  • Endorsed Senior Members: Senior Members with a WWCC.
  • Mentors: Age 18+, with WWCC, and designated by the President to mentor juniors.
  • Parents: Parents of junior members (can also be senior, endorsed senior members or mentor).
  • Endorsed Parents: Parents with WWCC.
     

3. Junior Members

  • Junior Executive:
    • President
    • Vice President
    • Secretary
    • Treasurer
    • Committee Members
  • Junior Members: Students in years 7–12 (must be at least 13 years old).

Content Types

  • Common Content: Publicly shared under CC0 (Public Domain). Authorship is anonymous.
  • Discussions: Private, but discussion points may be used in Common Content anonymously.
     

Groups on the Website

  • Senior Members Group: All senior members. Only visible to senior members and executive members (not junior executive members).
  • Parents Group: Discussion space for parents. Only visible to parents groups and executive members (not junior executive members).
  • Executive Group: Private space for Executive members.
  • Junior Executive Group: Discussion group for Junior Executive. Only visible to Junior Executive Group, mentors and executive members.
    • Endorsed parents have view-only access.
    • Mentors may interact.
  • Junior Group (Main): Interaction space for junior members.
    • Executive may interact.
    • Endorsed parents have view-only access.
    • Mentors may interact.
  • Endorsed Group: For all members with a WWCC.
  • Mentors Group: For all designated mentors. Only visible to Mentors Group and executive members.
  • Senior Sub-Groups: Created by Senior Members, e.g., music, retreat planning. Follows the same rules as the Main Senior Group. 
  • Junior Sub-Groups: Created by Junior Executive, e.g., music, retreat planning. Follows the same rules as the Main Junior Group.

Privacy and Identity

  • Email addresses are visible only to the President, Secretary, Webmaster(s) and Safety Officer, Chaplain.
  • Communication occurs via group-based message boards, with email notifications.
  • Emails are used for contact/announcements only as required by those designated by the President.
  • Real names used:
    • Juniors/Seniors: Full real name.
    • Parents: Use "Mr/Mrs/Ms [LastName]".
  • Names are not public unless listed as contact persons.
  • The Contact Person is the President. Other persons can choose to be a contact person, eg secretary.

Content Contribution

  • All contributions become public domain (CC0).
  • Contributors remain anonymous.
  • Upon leaving MAYO, member’s content is transferred to the ‘Anonymous’ account.

Joining & Leaving

  • Over-18s request to join.
  • Junior members can join once a parent joins and lists them.
  • WWCC required for any adult working junior members.
  • WWCC records are kept securely on the site.
  • Members can leave at any time. Those who leave are encouraged to provide feedback via the exit feedback form.
     

Web Development

  • MAYO GitHub repo or other technologies.
    • Open to mentors and junior members only.
    • Publicly accessible.
    • Codenames allowed for contributors.

Misconduct Policy

Membership Revocation & Terms

  • Membership may be revoked by the President.
  • Terms and conditions can change.
  • New terms must be accepted upon next login.

🛡️ Child Protection & Safety Enhancements

    • The President, Safety Officer and Chaplain are required to have ongoing child safety training.
    • Training on appropriate communication and conduct for Mentors and Junior Exec.

 

🔐 Privacy & Data Management

  1. Data Retention Policy
    • WWCCs and personal data will be stored for three years from leaving MAYO or the last junior MAYO event.
    • If the record relates to an incident, illness, injury or trauma suffered by a child online or at a MAYO event, it is kept until the child is aged 25 years;
  2. Parental Consent
    • Written/electronic parental consent for junior members is required for them to join and participate in online discussions or group activities.
  3. User Verification
    • New parent or senior members may be phoned to verify who they are and suitability for joining MAYO.

💬 Communication and Moderation

  1. Moderation Guidelines
    • Executive members (both junior and adult) will moderate any groups they are part of. Mentors will also moderate any groups they are part of.

    • Users can opt out of email notifications from message boards.
